Field Link Bulk Serial Number Scanning User Guide

Step-by-step guide for bulk scanning solar panel serial numbers in the field using Field Link, including offline setup, scanning workflow, and multi-day syncing.

Bulk Serial Number scanning is currently in beta and only available on Android devices. This feature must be activated for your account.

Overview

Field Link allows you to scan serial number barcodes on solar panels directly in the field. The app works offline, so you can scan even when there's no cellular or WiFi connection at the site.

Before You Go to Site

1. Install Field Link

Download Field Link from the Google Play Store and install it on your Android device.

2. Log In

Open Field Link and log in with your Sitemark account credentials. You need to be online for this step.

3. Download the Site for Offline Use

This step is critical if there is no internet connection at the site, you must download the site data before leaving.

  1. From the home screen, find your site in the list

  2. Tap the download icon next to the site name. Download at least the Solar Panels and the Tables.

  3. Wait for the download to complete

  4. The site is now available offline

At the Site: Scanning Serial Number

Starting a Scan Session

  1. Open the site map by tapping on your downloaded site

  2. Make sure the solar panels layer is showing on your map by activating the solar panel component in the layer manager.

  3. Tap the toolbox icon on the map

  4. Select "Scan serial numbers" from the menu

  5. A banner will appear: "Tap a panel on the map to start scanning"

  6. Tap any solar panel on the map to begin — this sets your starting point

Scanning Panels

Once you start scanning:

  • The app shows a split view: map on one side, camera on the other

  • Point your scanner at the barcode on the panel

  • When the serial number is read, you'll hear a confirmation sound and the app automatically moves to the next panel. If a serial number has already been added to the platform a warning will appear.

  • The map highlights:

    • Green: Panels you've already scanned

    • Orange: The panel you should scan now

    • Red: Upcoming panels in your route

Input Options

You can scan using:

  • Camera (default): Point and scan with your device camera

  • External scanner: Connect a Bluetooth barcode scanner if preferred

To switch between input modes, tap the settings gear icon during scanning.

Route Settings

The app calculates a walking route through the panels. You can adjust:

  • Grouping: Scan by row or by column

  • Direction: Reverse the walking direction if you're approaching from the opposite end

Access these in the settings gear icon during scanning.

Handling Duplicates

If you scan a serial number that's already assigned to another panel:

  • A warning banner appears showing which panel has that serial

  • Choose one of:

    • Override: Assign to the current panel anyway

    • Skip: Move to the next panel without scanning

    • Retry: Dismiss and scan again

Undo a Scan

Made a mistake? You have 3 seconds to tap Undo after each scan.

Exiting Scan Mode

Tap the button to leave scan mode. Your scanned data is saved locally if you're working offline.

After Scanning: Syncing Your Data

When you have an internet connection, Field Link automatically syncs your scanned data to the server.

Important: Do not uninstall the app or log out until your data has synced.

Multi-Day Scanning Sessions

End of Each Day

  1. When you finish for the day, return to an area with internet

  2. Let Field Link sync your data (wait for sync indicator to complete)

  3. Your work is now saved on the server

Start of Next Day

  1. Re-download the site before heading back to the field — this ensures you have the latest data, including any panels scanned by others

  2. Go to the site list and tap the download icon again

  3. Wait for the download to complete
