How to Manage Stakeholders

Learn how to add and organize stakeholder companies and contacts, and assign them to your sites for better relationship management.

The Sitemark platform includes a comprehensive stakeholder management system that helps you organize and track all your important business relationships. This guide will walk you through managing stakeholder companies, contacts, and their relationships with your sites.

What Are Stakeholders?

Stakeholders are the companies and individuals involved in your projects and sites. This could include contractors, clients, property owners, or any other contacts relevant to your work.

How to Set Up Stakeholders?

Step 1: Add Stakeholder Companies at Portfolio Level

Before you can manage contacts or assign stakeholders to sites, you need to define your stakeholder companies.

1. Navigate to Stakeholders

Navigate to the sidebar on the left side of the dashboard and select the Stakeholders menu. This section contains all the stakeholders related to your company's account.

2. Open the Stakeholder Companies Tab

Click on the Companies tab. Here you can view all your existing stakeholder organizations and add new ones. These portfolio-level stakeholder companies will be available to assign to any of your sites.

3. Add a New Stakeholder Company

Click the Create Company button and fill in the company details.

For each company, you can define:

  • Name: The company's official name

  • Address: Street address

  • Postal Code: ZIP or postal code

  • City: City or locality

  • Country: Country of operation

  • Registration Number: Official business registration number

  • Additional Notes: Any relevant information about the company

Step 2: Add Stakeholder Contacts at Portfolio Level

Once you've created your stakeholder companies, you can add individual contacts.

1. Navigate to the Contacts Tab

From the Stakeholders menu in the sidebar, click on the Contacts tab.

2. Create a New Contact

Click the Create Contact button and fill in the contact details.

For each contact, you can define:

  • First Name: Contact's first name

  • Last Name: Contact's last name

  • Email: Email address

  • Phone: Contact phone number

  • Title: Job title or role

  • Company: Link the contact to a stakeholder company (optional)

  • Additional Notes: Any relevant information about the contact

You have two options when creating contacts:

  • Linked to a Company: Assign the contact to one of your stakeholder companies to show their organizational relationship.

  • Independent Contacts: Leave the company field empty to create contacts that exist independently. These are useful for individual consultants, freelancers, or other stakeholders who aren't part of a larger organization.

Step 3: Assign Stakeholders to Sites

After setting up your portfolio-level stakeholder companies and contacts, you can assign them to specific sites.

1. Navigate to Your Site's stakeholders

Go to the site where you want to manage stakeholders. You can find your sites through the main navigation menu. Within the site view, click on the Info tab.

Under the Info tab, you'll see a Stakeholders tab. Click on it to view and manage all stakeholders associated with that particular site.

2. Assign Companies to the Site

First, assign the relevant stakeholder companies to the site by selecting them from your portfolio-level stakeholder company list. When assigning a stakeholder company, you can specify the role this company has on the site. This helps clarify each company's relationship to the site.

5. Assign Contacts

Once a stakeholder company is assigned to the site, you can assign the individual contacts from that company to the site as well.

For contacts that aren't linked to a company, you can add them to the site under Independent Contacts. This ensures all relevant individuals are tracked, regardless of their organizational affiliation.
